Share a File

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the My Files section on the left panel.
  3. Select the file you want to share.
  4. Select Manage Share.
  5. In the prompt, click Share with a user or group, select the user(s) or group(s) you want to share the file with, then click Share with N (N is the number you selected).
  6. Click Close.
note

You can only share files with groups you are a member of. Manage Share also hides groups whose project is not active for you and groups where you lack the Add Directory Entries group permission.

New shares expire by default

Every share you add in Manage Share gets the system's default expiration, 30 days unless your administrator changed it. To share a file permanently, turn the expiration switch next to the recipient off. See Share a File for a Limited Time.

The Manage Share dialog

Manage Share is offered when one file that you own is selected. The dialog shows the file's icon, name and size, and the following parts:

  • Share with a user or group: opens the picker, and becomes Cancel while the picker is open. The picker lists groups first, then users, and leaves out everyone the file is already shared with. Type in Filter by name or email… to narrow it, then click Share or Share with n.
  • Recipient filters: Filter by name or email… and Filter by restrictions narrow the list of recipients. When nothing matches, the list shows "No results found." and "Your search returned 0 results."
  • Recipient rows: each row shows the name, the email or the number of members of a group, "Shared date", the expiration, the restrictions list, and the unshare button. New recipients start with Full access.
  • Group members: click a group row (tooltip Show members) to list its members. An empty group shows "This group has no members."
  • Empty state: a file with no recipients shows "This file is not shared with anybody." and 'Click on the "Share with a user or group" button to start sharing this file.'
  • Close: closes the dialog. Changes to expiration and restrictions save on their own about half a second after you make them, so there is no Save button.
