Step 3: Activate and Onboard Users

Access Level:

Admin, Super-admin

Requirements

  • Completed the User Training track
  • An active admin or super-admin account
  • At least one team and one project configured

When a new user registers for a tiCrypt account, their status is set to Pending. An administrator must activate the account before the user can log in and access resources.

Activate a User Account

  1. Go to Management in the top toolbar.
  2. Navigate to the Users section.
  3. Select Users in the left panel.
  4. Select the user with a Pending status.
  5. Click the Open Full Menu button.
  6. Select Change State.
  7. In the pop-up, select Active.
  8. Click Activate.

Once activated, the user can log in with their private key and password.

Assign Users to Teams

Teams control resource quotas and group membership. Every user should belong to at least one team.

  1. Go to Management > Teams.
  2. Select the target team.
  3. Click Add member.
  4. Search for the user and confirm.

Assign Users to Projects

Projects define access boundaries for files, VMs, and compute resources.

  1. Go to Management > Projects.
  2. Select the target project.
  3. Click Add member.
  4. Search for the user, assign their role and any required certifications, then confirm.

Automate Onboarding with Templates

For deployments with many users, onboarding templates automate the process of assigning teams, projects, certifications, and VM configurations to new accounts.

An onboarding template defines:

  • Profile -- the default permission set for new users
  • Teams -- which teams to add the user to
  • Projects -- which projects to grant access to, with role and expiration
  • Certifications -- required security certifications and renewal periods
  • VM Configurations -- pre-configured virtual machines provisioned on activation

When a user registers and matches an active template, tiCrypt automatically provisions all resources defined in the template upon activation.

Use this checklist when setting up a new tiCrypt deployment:

  1. Register and activate the site-key admin account
  2. Create escrow groups and register escrow users
  3. Create teams with appropriate resource quotas
  4. Create projects with security levels and requirements
  5. Configure VM hardware setups and images
  6. Build an onboarding template for each user category
  7. Activate the onboarding template(s)
  8. Invite users to register
