What Problem Does Oboarding Solve?

Imagine managing a large group of 100 individuals.

You need to set up numerous workflows for them: teams, projects, permissions in projects, etc.

Onboarding creates an automated system that provides you with profiles containing predefined teams, user profiles, projects, and permissions.
This process allows you to onboard a large number of individuals into the system efficiently and at scale.

In a large user group, typically have two to three profiles at most, which simplifies management and reduces human error when updating metadata.

What is the Difference between Name and Profile in Onboarding Table?

The name defines the title of the onboarding template. The profile indicates what user profile you are using in the onboarding template.

Multiple onboarding templates can use the same profile.

What is the Difference between Active, Deactivated, Escrow upon login and No state change Onboarding Status?

  • No state change: the system does nothing, leaving the onboard template idle.
  • Active: the onboard template is activated for all accounts.
  • Deactivated: the onboard template is deactivated for all accounts.
  • Escrow upon login: the onboard template requested escrow upon login to all accounts.

Onboarding allows you to decide the user state at scale acting as an automation workflow. For example, you can onboard 1000 users into the system right away.

How do I Enroll New Sub-Admins & Admins in tiCrypt?

Prerequisites

Before activating a new user as an admin, you should have the following in place:

  • Created Teams(s) ready to be assigned.
  • User profiles structure.
  • Projects for the new PIs
    • If classified: security levels, security requirements and user certifications.
  • Virtual machines configurations and drives ready to be managed.
  • Confirmation that the new admins have made an account and are pending activation.
  1. Activate the new user accounts.
  2. Add the user(s) to a team.
  3. Change users' state to Active.
  4. Change users' role to Admin or Sub-Admin.
  5. Delegate a team or delegate a project to the sub-admin.
  6. Add sub-admin to the project.
  7. Delegate VM & drive to sub-admin.
  8. Certify admin or sub-admin for project or Virtual Machine.
